Service Cancellation & Refund Policy

1. Introduction

At Mindblue LLP, we are committed to providing high-quality advertising and marketing services to our clients. This Service Cancellation & Refund Policy outlines our procedures for service cancellations, modifications, and refunds.

Please read this policy carefully before engaging our services. By signing a service agreement with us, you acknowledge that you have read, understood, and agree to be bound by the terms of this Service Cancellation & Refund Policy.

2. Service Agreements

All our advertising and marketing services are provided under a signed Service Agreement that outlines:

  • Scope of services
  • Project timeline
  • Deliverables
  • Payment terms
  • Cancellation terms

The specific terms in your Service Agreement take precedence over this general policy in case of any discrepancies.

3. Cancellation Period

After the initial 7-day period, cancellation terms will follow the schedule outlined in your Service Agreement, which typically includes:

  • Cancellation 15+ business days before project start: 90% refund of any payments made
  • Cancellation 8-14 business days before project start: 50% refund of any payments made
  • Cancellation within 7 business days of project start: 25% refund of any payments made
  • Cancellation after project has commenced: Refund based on percentage of work completed (if any)

4. How to Request Cancellation

To request a cancellation of services, please:

  1. Contact your assigned Account Manager directly
  2. Or email our client services department at [your email]
  3. Include your company name, the service agreement number, and reason for cancellation
  4. Submit a formal cancellation request in writing (email is acceptable)

All cancellation requests must be made in writing to be valid.

5. Service Modifications

We understand that business needs may change. Clients may request modifications to contracted services under the following conditions:

  • Minor modifications that do not affect the scope or timeline may be accommodated at no additional cost
  • Significant modifications may require a change order and additional fees
  • Reduction in services after work has begun may not result in a proportional reduction in fees

All modification requests must be submitted in writing and approved by Mindblue LLP before taking effect.

6. Refund Timeline and Process

When a refund is approved, we will process it within 10 business days of the cancellation approval.

Refunds will be issued using the original payment method when possible.

For clients on retainer agreements or with recurring payments, refunds will typically be applied as credits toward future invoices unless a full termination of services is requested.

We will notify you by email when your refund has been processed.

7. Non-Refundable Services

The following services and expenses are generally non-refundable:

  • Third-party costs already incurred (media buys, production costs, etc.)
  • Completed creative work or deliverables already approved by the client
  • Rush fees for expedited services
  • Custom research or strategy development that has been delivered
  • Administrative setup fees

These items will be clearly identified in your Service Agreement.

8. Dissatisfaction with Services

If you are dissatisfied with our services, please contact your Account Manager immediately. We are committed to client satisfaction and will work diligently to address any concerns.

For legitimate quality issues where we have failed to meet the specifications outlined in the Service Agreement, we will:

  • Revise the work at no additional cost
  • Offer a partial credit for future services
  • In extreme cases, offer a partial refund as determined by management

Any claims regarding service quality must be submitted within 14 days of the service delivery.

9. Force Majeure

In the event that we are unable to fulfill our service obligations due to events beyond our control (natural disasters, acts of war, significant illness, etc.), we will work with you to either:

  • Reschedule the services for the next available opportunity
  • Provide a credit for future services
  • Issue a refund for services not yet performed

10. Termination for Breach

Mindblue LLP reserves the right to terminate services without refund if the client:

  • Fails to make payments according to the agreed schedule
  • Fails to provide required materials or approvals causing significant delays
  • Engages in unethical or illegal activities
  • Repeatedly changes project requirements outside the change order process
